The Diagnostic Call

We ask you about your operation — staff count, how long you've been running it, what breaks when you're not there, what you've already tried to fix. You'll know by the end of the call whether this is the right fit. We will too. No pitch, no pressure, no obligation.

This call is genuinely diagnostic — not a sales call. If your situation isn't one we can help with, we'll tell you that directly and point you somewhere that can.

Prep

You Tell Us What to Focus On

Before we show up, we send a short pre-visit questionnaire. Nothing complicated — just the areas of your operation you're most concerned about, your busiest season, and who we should talk to while we're there. This keeps the two days focused instead of scattered.

Onsite

Two Days at Your Location

We come to your place. We watch how things actually work — not how you think they work, and not how you'd describe them on a good day. We shadow your staff, walk your operation, and ask the questions nobody inside the building thinks to ask anymore.

We focus on your highest-dependency processes — the ones your business breaks without. What gets produced is thorough, clearly organized, and built to be referenced and used — not filed away. The goal is documentation that actually runs the operation in your absence.

What people ask before they book

Do all six deliverables come with every engagement?
Yes — all six, every time, no exceptions. The Operations Map, Tribal Knowledge Capture, Fragility Report, Priority Action Plan, Infrastructure Recommendations, and Follow-Up Call are all included in the flat fee. What varies by operation is the depth of documentation within each — a 3-person yard and a 40-person garden center both get all six components, scoped appropriately to what their operation actually needs.
What if my operation is complicated or seasonal?
Seasonal and complicated is exactly who this is built for. Garden centers, nurseries, and landscape supply yards have inherently cyclical chaos. That's not a problem — it's the whole reason the tribal knowledge is so hard to capture. We've thought about this.
Do I need to prepare anything before you arrive?
Not much. We'll send a short pre-visit questionnaire. Beyond that — just run your operation like you normally would. The more natural the day looks, the more useful what we capture will be.
What if I'm outside Mississippi?
Hoag Systems is based on the Gulf Coast. Engagements within reasonable driving distance are included in the flat fee. Locations requiring overnight travel are scoped individually — travel and accommodation costs are discussed transparently before booking, never added as a surprise. Call to talk through your location.
Is this a retainer or ongoing commitment?
No. The Clarity Visit is a single flat-fee engagement. You own everything produced. Some clients return for the next phase — implementation, digital infrastructure, or systems build — but that is always a separate conversation and never a condition of the first engagement.
